About the role
We are seeking a dedicated part-time Office Manager/Coordinator to optimise the in-office employee experience in our London office. As the primary point of contact, you will play a crucial role in ensuring a positive, professional first impression for all employees and visitors. You will manage a wide range of administrative and executive support tasks, contributing to a highly engaging and productive work environment. You will serve as the first point of contact for employees and visitors, ensuring a warm, professional welcome and managing entry into the office.

What will your day look like? You will...

  • Support the onboarding process for new hires, ensuring they receive a warm welcome and necessary office information, including coordinating desk and equipment set-up
  • Order weekly lunches, stock snacks, drinks, and groceries, and book meeting rooms to ensure a seamless office experience
  • Open, scan and post confidential mail & letters, delivering it to the appropriate teams, and manage all aspects of mail handling including incoming and outgoing mail
  • Manage office supplies, equipment, and vendor relationships to ensure the office is well-stocked, clean, and welcoming. Ensure visitors and new hires have desk space
  • Collaborate with building management and vendors to resolve any office-related issues promptly and enhance employee services for consistency
  • Identify facility deficiencies, coordinate repairs, and track their status to maintain a high standard of office maintenance
  • Organise and coordinate a variety of events and activities, including catered monthly Town Halls, social events, holiday parties, and other company initiatives
  • Manage general office facilities, including conference rooms and maintaining office equipment, in collaboration with building maintenance teams
  • Oversee the physical security of the office, ensuring systems are operational and coordinating with IT/Security teams as required
  • Track and process workplace experience expenses using internal software programs.

To help us level up, you'll ideally have:

  • A minimum of 2 years of experience in workplace experience management, office management, or a related role
  • Excellent communication and interpersonal skills for effective interaction with employees and leadership teams
  • Strong organizational and project management abilities to handle multiple projects and initiatives simultaneously
  • Analytical skills to gather, interpret, and apply data in decision-making processes
  • Familiarity with workplace technologies and platforms
  • Creative problem-solving skills to address workplace experience challenges innovatively

This position is part time 2.5 days per week from October through to May'25. You will be expected to attend the office 2 days a week.
